An AI assistant can only work with what you give it. A vague request gets a generic answer, while a clear one gets something you can actually use. You do not need special tricks; you need to say what you want, for whom and in what shape. This guide gives you a simple structure and a few habits that work with any of the popular chat assistants.
A five-part structure
- Goal. State the task in one sentence: summarize, compare, draft, explain, brainstorm.
- Context. Say who the output is for and why. A message for your manager and one for a friend are different jobs.
- Material. Paste the text, notes or data the assistant should use, so it does not have to guess.
- Constraints. Give length, tone, things to avoid and anything it must include.
- Format. Ask for the shape you want: a short email, a table, three bullet points, a numbered plan.
A before-and-after example
Before: Write an email about the meeting.
After: Write a short, friendly email to my team confirming that Thursday’s planning meeting moves from 10:00 to 14:00. Mention that the agenda is unchanged, ask people to reply only if the new time is a problem, and keep it under 100 words.
The second version names the audience, the facts, the tone and the length. The assistant no longer has to invent any of them.
Three habits that improve results
- Iterate. Treat the first answer as a draft. Reply with specific changes such as shorter, less formal, or add a concrete example, rather than starting over.
- Show an example. If you have a sample of the style you want, paste it and say to match its tone and structure.
- Let it ask you questions. For bigger tasks, end the prompt with: ask me any questions you need answered before you start.
Check what comes back
AI assistants can sound confident and still be wrong, especially about names, numbers, dates and quotations. Verify anything factual against a reliable source before you rely on it or share it, and ask the assistant to say when it is unsure instead of guessing.
Protect your privacy
Do not paste passwords, financial details, health information or confidential work documents into a tool unless you have checked how that service stores and uses your data. When in doubt, remove names and identifying details first. If you plan to use AI for meeting notes, read what to check before you pick an AI note-taking tool.
A reusable template
Copy this and fill in the blanks: I need to [goal]. The audience is [who] and the purpose is [why]. Use this material: [paste]. Keep it [length and tone] and avoid [things to skip]. Give me the result as [format].
